About The Role
We are seeking a detail-oriented and highly organized Administrative Support team member to join our Property Team. This role is critical to the success of our expansion strategy, focusing on identifying, tracking, and supporting the acquisition of new Pronto Pilates studio locations.
Prior experience in real estate, property leasing, or franchise expansion is required, as you’ll be working closely with brokers, agents, and our internal lease negotiation team.
This is a remote role but requires the majority of working hours to be aligned with Australian business hours.

- Exceptional organizational skills, with the ability to juggle multiple properties simultaneously while consistently meeting deadlines.
- Strong written and verbal communication skills, enabling effective collaboration across teams and with external agents.
- A self-driven and proactive mindset, taking ownership of tasks and driving properties to successful and timely completion.
To secure an interview, you should possess the following:
- Previous experience in real estate, property leasing, or a similar commercial property role
- Strong attention to detail and a process driven mindset
- Excellent organizational skills; able to track and manage a high volume of opportunities simultaneously
- Professional communication skills – both written and verbal
- High level of comfort with tech tools such as Salesforce, Notion, Google Workspace, and calendar/email management platforms
- Proactive and resourceful, able to spot roadblocks and suggest improvements
- Eager to contribute to a fast-moving team
- Availability to work the majority of hours during Australian business hours
Desired Experience:
- Experience supporting franchise or multi-location rollouts
- Previous work in a startup or high-growth company
- Familiarity with lease documentation or commercial property evaluation tools
This role reports to the Director, Global Expansion and includes, but is not limited to, the following:
Property Search and Evaluation:
- Conduct routine property searches in approved target markets using internal tools and criteria
- Perform initial desktop reviews of potential sites using defined criteria (e.g., size, layout, locational, rental cost)
- Shortlist promising opportunities and flag for review by the lease negotiation team
Lease Administration and Coordination:
- Schedule and coordinate physical property inspections with brokers and internal team members
- Maintain accurate property records in Salesforce, including status updates, notes, and follow-up tasks
- Support lease negotiations by managing email inboxes, organizing documentation, chasing updates, tracking key milestones and organizing responses
- Track all ongoing opportunities and ensure follow-ups and deadlines are met
Process and Communication Support:
- Ensure all property and lease-related data is up-to-date and consistent with internal SOP’s
- Communicate clearly and professionally with agents, team members, and other stakeholders
- Provide general administrative support to the broader Property and Leasing team as needed
